It comprises around 1.1 million Catholics with a wide variety of people, cultures and ministries, providing services and support including pastoral, educational, social welfare, financial and administration services.The Vocations Office of the Catholic Archdiocese of Melbourne exists to help parishes support those who are discerning a vocation to Holy Orders or religious life and to help those wondering whether they have a vocation to diocesan priesthood.About the RoleThe Executive Assistant (EA) specifically supports the Director of Vocations to provide a high level of professional administrative support ensuring excellence in service delivery.The EA ensures the Director of Vocations is prepared and informed on relevant matters in a timely manner. This includes researching, preparing and ensuring correspondence are responded to within specified timeframes and proactively managing each Executives calendar. In providing this support the position exercises a high degree of communication competence, initiative, discretion and confidentiality.Key Responsibilities of the roleFirst point of contact for the Office of Catholic Vocations,Provide exceptional executive assistance to the Director of VocationsMaintain a professional but friendly demeanor in the presence of colleagues and visitors to the Vocations Office.Maintain strict confidence in relation to all personal/private information handled in day-to-day dutiesAbility to confidently liaise with the Assistant Vocations Directors Schools/Youth and International StudentsAssist with lodging visa applications for international students, including keeping up-to-date with requirements of the Department of Immigration in cooperation with the Assistant Director responsible for International StudentsLiaise with Parishes, schools of the Archdiocese and the Catholic Education Office and other external consultantsGeneral office management, suppliers, incoming queries, data base management and mailing listsOccasionally there may be after hours/weekend work required to support annual events. Time in lieu will be offered to compensate.About youYou have an awareness of, and appreciation for, the identity and mission of the Catholic Church in Melbourne and of Catholic social teaching.
