SUMMARY OF THE ROLEWe are now inviting applications from interested candidates for a Customer Service Administrator position, fully based onsite our Melbourne office. The position will be responsible for processing customer orders by entering in the system to ensure orders and invoices are processed in an accurate and efficient manner resulting in the best service possible to the customer. The incumbent will be reporting to Customer Service Supervisor.Responsibilities:Process and verify the accuracy of orders from customers in a timely and efficient manner to ensure that Jotuns on-time delivery performance objective is achieved.Receive and enter orders for collection or delivery and ensure proper document flow control.Follow-up with the warehouse for all customer reports of deliveries.Dispatch invoices and credit notes to customers and follow up to ensure they are received on time in total.Perform the data entry of inventory transactions.Verify, enter, and review system prices accurately with the customers purchase orders and sales orders. Attach other relevant documents if required.Process customer returns according to established Jotuns Guidelines and Procedures.Ensure information on orders is accurate to facilitate invoice processing.Resolve invoice inquiries and discrepancies from customers or partners.Work closely with Finance Department to resolve disputed credit items.Ensure all exception and promotion customer pricing follows Jotuns guidelines.Log customer complaints in the companys customer complaint database.WHAT WE ARE LOOKING FOR AND WHAT WE OFFERQualifications1-3 years experiences in Administration would be advantageous.Possess excellent interpersonal and communication skills.Able to apply a methodical and systematic approach in performing the role, plan ahead, define clear priorities, and allocate resources effectively.Ability to display Constructive Teamwork and to cooperate well with others; share knowledge, experience, and information; support others in the pursuit of team goals.Demonstrate Initiative & Responsibility: acts on own initiative, makes things happen, and accepts responsibility for the results.Possess Effective Communication: communicates in a clear, precise, and structured way; speaks with authority and conviction; presents effectively.Ability to build a useful network of contacts and relationships and utilize it to achieve objectives.Commitment to adhere to company rules and procedures; execute plans with commitment and determination; achieve high-quality results.Must hold full working rights in Australia (Australia Permanent Resident or citizen) at the time of application.What We OfferWe are a fast-growing paint company with proven financial success.Career development encompassing on-the-job experiences and Jotun Academy, our in-house development academy.Best-in-class paint products that are unparalleled in quality.We are a values-driven organization where Loyalty, Care, Respect, and Boldness are core to the culture and success of our organization.How to Apply1.
