Everyone is committed to delivering great outcomes for our customers, and you will have the chance to change the face of payments and commerce for Australian businesses.About The RoleAs a member of the Workplace Experience Team (WE) at Tyro, the Office Coordinator is responsible for designing, creating, and executing valuable employee experiences at Tyro, where we put our people at the center of the workplace and create seamless service experiences throughout our office and for the day-to-day management of the office.This role aims to facilitate employee engagement, accelerate workplace energy, and create an environment that increases productivity and boosts employee fun and wellbeing.The Office Coordinator considers the physical environment that our people work in, ensuring that it is pleasant, clean, and well-stocked. They ensure that our people have the necessary tools and technologies to enable their productivity and are constantly seeking new solutions that allow our employees to achieve their best at work.What You''ll DoReception Duty:Manage all reception activities welcoming staff and guests, collecting deliveries & mail, answering calls, and directing inquiries to the right person.Ensure that reception is operational during standard working hours 8.30am - 5pm.Office Management:Maintain kitchen supplies and vending machines twice a week.Maintain office supplies ad hoc (e.g., paper, stationary).Perform weekly maintenance on all coffee equipment.Stock up wine fridge for weekly Friday night drinks and monthly Mindshare.Coordinate repairs and liaise with vendors.Manage and maintain meeting rooms weekly (e.g., wipe down whiteboards, straighten up chairs).Work closely with the Head of Workplace Experience on all workplace management matters, including implementing agreed policies and procedures. Escalate any issues.Identify Workplace Health & Safety hazards within the office. Walk the floor every fortnight and table any issues (e.g., cords hanging off desks).Assist with other Workplace Health & Safety duties as required.Manage the Big Screen and other general TV content weekly.Administration:Manage the Workplace Experience mailbox, Slack channel, and JIRA tickets.Budget management of office costs, with monthly reporting of key items to the Head of Workplace Experience.Coordinate Tyro domestic and international travel as needed.Organize business cards as needed.Organize couriers as needed.Organize Tyros weekly shopping list.Expense reconciliation of WE expenses monthly.Manage activities associated with the maintenance of building facilities and equipment, including the administration of building security/access for employees.Manage visitors and escalate issues as required to ensure the physical security of the Tyro office.Event Management:Help with events and celebrations, e.g., Blitz hackathon, weekly drinks, wellness initiatives.Manage team catering requests as needed.Onboarding/Offboarding:Conduct new starter office tours.Organize building access cards for new starters.Maintain building access cards sheet for new starters and leavers.Maintain Brivo online card system for new starters and leavers.Complete all offboarding Adobe documents and escalate to People Partners if the process is not being followed.What You''ll Bring:Experience managing office spaces or facilities is ideal.Ability to foster a welcoming and inclusive office environment.Event coordination skills.Experience managing vendor relationships.Strong written and verbal communication skills.Perks And Benefits:Weve worked hard to create an environment thats big on diversity, inclusion, and flexibility, and one that suits the changing needs of our people across Australia.
