Position Number: 0061309Location: ParkvilleRole type: Full-time; ContinuingDepartment: Student and Scholarly ServicesSalary: UOM 5 $83,159 $95,518 p.a. plus 17% superAbout the RoleThe Disability Administrative Assistant provides high-quality administrative support to the Disability Services team, ensuring the efficient coordination of services for students. This role involves managing scheduling, monitoring the Disability Services inbox, liaising with Academic Support Workers, maintaining databases, and assisting with formatting study materials during peak periods. The position requires strong organisational skills, professionalism, and the ability to work flexibly in a dynamic environment while maintaining confidentiality and excellent customer service.Your responsibilities will include:Managing and triaging Disability Services shared mailbox and the enquiry management database.Independently managing day-to-day support in directing the casual workforce (Academic Support Worker program) with all key activities including shift allocation, recruitment planning, delivering training, and onboarding activities.Coordinating and managing Academic Support Worker scheduling and securing support as per standard operating procedure within short timeframes and with a high level of professionalism and attention to detail.Acting as primary liaison between registered students, casual workforce, and third-party agencies in relation to tangible supports, ensuring consideration of a variety of factors including student needs and workforce planning.Who we are looking forThe ideal candidate possesses strong written and verbal communication skills, attention to detail, and excellent interpersonal abilities. They can work both collaboratively and independently, demonstrating initiative, problem-solving, and negotiation skills to resolve enquiries effectively. With strong organisational skills, they can prioritise tasks, meet deadlines under pressure, and communicate sensitively and empathetically with diverse stakeholders while maintaining respect for colleagues.You will also have:Strong experience working as an administration assistant in an educational organisation or disability service or an equivalent combination of relevant experience and education/training.Excellent working knowledge of Microsoft programs including Teams, Microsoft Word, Excel, and Microsoft Outlook and use of databases.Ability to use digital platforms to collate and analyse data for reporting purposes.Candidates with lived experience of disability are strongly encouraged to apply.This role requires the successful candidate to undergo and maintain an up-to-date Working with Children Check. This is essential to guarantee a secure environment for all individuals at the University.
