This role is responsible for managing a team, handling key administrative tasks, overseeing client data, ensuring compliance, and driving operational efficiency within the team. The Practice Manager will collaborate closely with the team to implement best practices, monitor performance, and maintain a high standard of client service.You will be responsible for:Operational Management:Oversee daily operations, ensuring all practice-related tasks are completed efficiently and on time, including ATO/ASIC lodgements, timesheet reviews, and system updates.Monitor and maintain key operational metrics via the PM Dashboard, ensuring all processes run smoothly and deadlines are met.Ensure timely client data reviews, job clean-ups, and lead management processes to support effective client engagement and workflow.Staff and Team Management:Lead and support administrative managers and teams, providing ongoing guidance, mentorship, and performance feedback.Conduct regular one-on-one meetings with admin and accounting staff, ensuring compliance with processes, performance goals, and completion of required documentation.Facilitate training sessions to enhance team skills and knowledge, ensuring adherence to best practices and improving operational efficiency.Client and Satisfaction Management:Manage client satisfaction KPIs, ensuring surveys are distributed and feedback is gathered, analysed, and acted upon. Ensure positive feedback is recognised, and constructive feedback is addressed promptly with the relevant team.Collaborate with the accounting team to oversee and ensure high standards of client service, handling any issues that arise.Review and manage billing processes, including cross-charges, invoices, credit notes, and monthly EOM billing reports to ensure accurate client billing.Conduct regular reviews of unbilled and old work-in-progress (WIP) to ensure timely invoicing and proper financial tracking.Compliance and Risk Management:Ensure all compliance-related tasks are completed, including CA/CPA renewals, insurance policies, and TPB registrations, as well as other statutory requirements.Monitor and manage internal systems such as ATOmate, FuseSign, NowInfinity, and FYI templates, ensuring they are up-to-date and compliant with firm and regulatory standards.Oversee the implementation and review of Tax Audit Insurance and other necessary compliance activities.System and Process Improvement:Review and manage subscription user access and update user rates in internal systems (e.g., FYI docs).Reallocate jobs and tasks as necessary when staff transitions occur and ensure new employees are granted proper access to systems and tools.Continuously assess and refine internal processes, identifying areas for improvement and introducing new solutions to streamline operations and improve productivity.Reporting and Strategic Oversight:Regularly prepare and review key reports, including lead management, lodgement reports, and financial data, ensuring that all areas are aligned with firm goals.Provide updated client lists to the marketing team to assist with client re-engagement and marketing campaigns.Ad Hoc Tasks and Special Projects:Assist with special projects as required by the Managing Director, including but not limited to client re-engagement initiatives, staff appreciation programs, and other firm-wide improvements.Coordinate and oversee staff gifts, hampers, and other recognition efforts.This role requires a proactive, organised, and hands-on Practice Manager who can develop excellent working relationships with staff and clients, to ensure our client engagement is maintained to a high standard.
