Overview:Full-time, Continuing positionSalary HEW 6 + 17% Superannuation and Flexible Working ArrangementsBased at the Melbourne CBD campus, but may be required to work and/or be based at other campuses of the UniversityAbout The PositionThe Administrative Advisor, Completions, Awards, and Graduations oversees the end-to-end process of producing and delivering official university award documentation, including Testamurs, Statement of Academic Completions, VE Qualification statements, and Academic Transcripts. This role involves providing high-quality customer service and accurate information to students and staff regarding graduation, completions, and academic statements through the Service Now portal and email accounts.The Advisor also supports the coordination of graduation gown and ticket collection days, including staff recruitment, onboarding, and scheduling. Additionally, they create internal and external communications to support unit activities across various university channels.The role requires expertise in student database systems to resolve issues and advise stakeholders while ensuring compliance with privacy regulations and internal processes. The Advisor applies knowledge of policies and procedures to provide timely, accurate data and advice, contributing to academic governance reporting and positive student experiences.The Advisor is also responsible for documenting key processes, standard operating procedures, and guidelines in Promapp, the universitys process mapping software.To be successful in this position, youll have:Significant experience in understanding system linkages, troubleshooting issues, and documenting and implementing process improvements.Demonstrated ability to engage with complexity, problem solve, and exercise strong attention to detail.Proven capacity to work efficiently and flexibly, both independently and as a member of a team to provide high-quality services in a customer-focused environment.Highly developed communication skills including the ability to edit and proof correspondence, compose relevant and targeted messages, and draft and articulate internal processes captured within process mapping software.Excellent interpersonal skills including confidence to interact, advise, and negotiate with a wide range of stakeholders, as well as a capacity to build and manage effective relationships.Significant proven ability to exercise initiative and judgment, as well as take responsibility for end-to-end completion of tasks within a fast-paced and complex environment.Demonstrated ability to complete tasks to a high standard within tight deadlines and manage competing priorities.Ability to contribute to the operational and logistical support for graduation events, including assisting with the coordination of activities involving key internal and external stakeholders and support staff.High-level computer literacy including Microsoft Office 365 applications such as Word, Excel, PowerPoint, Teams, Outlook, as well as in student systems and databases.Please Note: Appointment to this position is subject to passing a Working with Children and National Police Check.About the PortfolioThe Education Portfolio is led by the Deputy Vice-Chancellor Education and Vice-President who is responsible for planning and implementation of the Universitys strategies related to RMITs academic programs and the student experience.
